Private family office seeks a bright, energetic, and highly experienced Assistant Estate Manager to assist
in the operation of a large estate in Beverly Hills, CA! This person will be the driving force behind the seamless operation of the estate. Candidates’ leadership ability will set the tone for the team, ensuring that all aspects of maintenance, hospitality, and client/guest services are executed with excellence. The ideal candidate thrives in a culture of high standards, attention to detail, flexibility, and adaptability to change. The position requires excellent interpersonal skills, a straightforward communication style, and the ability to reflect the family’s values in every interaction with others. Candidate must have experience managing diverse service teams, including chefs, housekeeping staff, service staff, runners, assistants, and vendors. The family is searching for a strong leader. This is a hands-on position, and the Assistant Estate Manager is expected to lead by example and pitch in wherever needed. Confidentiality and discretion are of paramount importance.
Primary responsibilities:
The Assistant Estate Manager will report to the Estate Manager. Typical tasks will include, but are not
limited to the following:

  • Lead, inspire, and motivate a diverse team of staff members including maintenance personnel,
    housekeepers, and hospitality staff.
  • Oversee all aspects of estate maintenance, ensuring that the property is immaculately always
    maintained.
  • Source, hire, schedule, and manage household employees to ensure household and property
    needs are met.
  • Source, schedule, and manage approved contractors or vendors for various property tasks and
    projects.
  • Skilled at understanding smart home systems and ensuring technology is fully always functioning.
  • Operate, maintain, and implement security measures, devices, and plans in cooperation with the
    client’s security provider.
  • Develop an overall plan for the maintenance of all buildings, structures, and the schedule for
    implementing that plan.
  • Manage an operating budget, including reviewing and approving all invoices as well as regular
    reporting.
  • Make purchases and run errands.
  • Help oversee the planning and execution of events, gatherings, and special occasions hosted at
    the estate.
  • Ensure guests staying at the property have a five-star hotel experience from arrival to departure.
  • Oversee and assist in all service aspects for the client and guests.
    Qualifications:
  • Minimum 8 years’ experience working on a luxury estate combined with experience from the
    hospitality sector preferred.
  • Highly experienced and effective managing teams.
  • Extensive experience overseeing everything from small to large events is highly preferred.
  • Obsessively attentive to details, organized, with strong written and verbal communication skills.
  • Must be highly proficient in all aspects of personal computing, including Word, Excel, and
    Outlook.
  • Current driver’s license required.
  • Successful completion of thorough background investigation and reference check.

    Schedule:
    This is an Exempt full-time position. Candidate must be flexible and willing to work evenings, weekends and potentially on Holidays. Schedule is generally daytime hours (5) days a week (Monday-Friday) while the client and/or guests are not on-site. When clients are in the residence, hours will increase/change as needed just before, during and after a client visit; long hours are expected during these times to meet the needs of the clients.
