Skilled and polished Executive/personal assistant needed for a prominent executive in Bel Air, CA!
Duties include but not limited to:
- Check voicemails
- Check house voicemails
- Check emails
- Sort and stamp mail
- Update “Pending Items” work sheet
- Visit w/ Principal and plan days tasks
- Listen to voice recorder for items to do that day
- Go over “Pending Items” list- add/ delete as you go through the list
- Review calendar/ important dates/ appointments/ birthdays
SCHEDULING/CALENDAR: Upkeep busy, fluctuating calendar in iCal. Enter events in proper time zones. Monitor calendar for double entries, missing addresses, parking instructions, or contacts. Schedule me for appointments including travel time. Check my work if I have scheduled an event.
MAIL: Receive and sort all incoming mail and packages. Manage returns.
GIFTS/ Shopping: Order flowers, shop for professional gifts, send thank you notes, order items Principal requests (clothing, shoes, personal items, etc.)
CORRESPONDANCE: Manage correspond by email, text, and telephone
MEDICAL APPOINTMENTS: Make appointments and manages all medical/ dental appointments. Fill out forms and insurance prior to appointments
WARDROBE: Order items when requested
REPAIR AND MAINTENANCE: Schedule and manage vendors for house: housekeeping, electrical, painting, window washing, plumbing, pool company, exterminators.
VENDORS: Coordinate with Vendors and Lupe
Manage personal family files: include extended family members
TRAVEL: Work with pilot, travel agent, house managers to arrange transportation, lodging and flights. Arrange tours and restaurant reservations. Research weather.
Candidate must have the below requirements:
- Minimum of 5 years experience
- Bilingual (Spanish)
- be able to work flexible hours
- Handle and excel in a fast paced
- Loyal/ long term experience
