Private Investment Firm is seeking a highly motivated and organized individual for an Executive Assistant role supporting CEO and Founder based in Austin, TX!
This individual will provide critical administrative, logistical, and project-based support in a fast-paced environment. We are seeking a results-driven professional with a high level of integrity accustomed to handling confidential and sensitive information. The ideal candidate is a highly detail-oriented professional with a positive attitude and the experience to support C-level leaders.
Job Responsibilities:
Provide administrative support to the CEO, interfacing with executive team members and stakeholders on all key projects and initiatives.
Serve as liaison to other company operations through screening, monitoring, and processing correspondence in the executives’ absence to ensure timely action is taken.
Maintain calendar management and logistical coordination, working across multiple time zones.
Coordinate domestic and international travel, including hotel accommodations and car services, directions, restaurant reservations and prepare detailed itineraries to accompany the arrangement; in addition to managing client logistics as needed.
Responsible for processing expense reports, including the reconciliation of reimbursements.
Execute firm’s marketing and communication plan; assist with human resources admin as needed.
Maintain CEO’s CRM database and manage contacts as necessary.
Assist with event planning for the office, including VIP events.
Design and execute effective data coordination, systems, and procedures for the office.
Ability to multi-task, anticipating the leadership team’s needs while managing any emerging issues in a proactive manner.
Requirements:
Minimum 3+ years of relevant experience supporting C-level executives.
Event planning experience.
expert use of Microsoft Outlook, Word, Excel, PowerPoint required.
Demonstrated knowledge of social, digital, and other emerging technologies preferred.
Excellent verbal and written communication skills, with ability to work interactively and proactively with executives at all levels in the organization.
Travel may be required as needed, domestic and international; having a valid passport or the ability to obtain a passport is required.
Available after hours as needed.
Desired Skills:
Minimum 3+ years of relevant experience supporting C-level executives.
Event planning experience.
Expert use of Microsoft Outlook, Word, Excel, PowerPoint required.
Demonstrated knowledge of social, digital, and other emerging technologies preferred.

Available after hours as needed.
Demonstrated ability to take on special projects, such as research, market analysis and ability to synthesize information into actionable business results a plus.
